Terms of Service

Agreement

These terms govern your use of TradesPilot, an AI-powered virtual office manager service for small, hands-on businesses. By signing up for or using TradesPilot, you agree to these terms.

What TradesPilot provides

TradesPilot gives each client an AI agent, connected via Telegram, that can search invoices and documents, draft and send emails, follow up quotes, respond to reviews, and post to social media on the client's behalf. Features available depend on the client's chosen plan.

Your responsibilities

Show, approve, act. Your agent will never send an email, post content, or take any action with external accounts without first showing you the exact content and receiving your explicit approval through Telegram.

Billing

New accounts start with a one-month free trial. Nothing is charged during the trial, and if you do not continue, you owe nothing.

When you convert to a paid plan, plans are billed in advance — monthly, or as a single payment for a prepaid six-month term. A one-off setup fee applies at the point you convert (not at signup) and appears as a line item on your first invoice; it is waived entirely if you prepay six months. Payments are processed securely by Stripe — TradesPilot does not store your card details. You can cancel at any time; cancellation takes effect at the end of your current billing period (for a prepaid term, the end of that term), and no partial refunds are provided for unused time within a period.

If you change plans, an upgrade takes effect immediately, and a downgrade takes effect at the end of the period you have already paid for — you keep what you paid for until then.

Third-party services

TradesPilot integrates with third-party platforms on your behalf, which may include Xero (accounting), Gmail and Google Drive (email and file storage), Facebook (social posting), and Telegram (messaging). Your use of these platforms is subject to their own terms of service. We access only the permissions you explicitly grant during setup, and you may revoke access at any time.

Service availability

We aim to keep your agent available and responsive, but we don't guarantee uninterrupted service. We'll make reasonable efforts to notify you of planned downtime or significant changes.

Data and privacy

How we collect, use, and protect your information — including any Google account data you connect — is set out in our Privacy Policy, which forms part of these terms.

Limitation of liability

TradesPilot is provided on an as-is basis. We're not liable for indirect or consequential losses arising from use of the service, including lost revenue or missed business opportunities, except where such liability cannot be excluded under New Zealand law.

Termination

We may suspend or terminate access to TradesPilot if these terms are breached, or if a client's account is used in a way that risks harm to TradesPilot, other clients, or third parties.

Changes to these terms

We may update these terms from time to time. We'll update the "last updated" date above when we do. Continued use of TradesPilot after a change means you accept the updated terms.

Governing law

These terms are governed by the laws of New Zealand.
